Teaching and examinations

The campus management system HohCampus supports lecturers and examiners in teaching tasks (e.g., editing courses, scheduling, editing modules) and exam organization (e.g., entering grades, participant lists, planning decentrally organized exams, and room booking).

Lecturers/examiners also have the possibility to define substitutes who can take over these tasks for them.

The relevant role here is secured by a second factor. When you log in to HohCampus, you must generate and enter a TAN (one-time password) with a token to use the role. If you already have a token (e.g. for VPN access), you can also use this for HohCampus and do not need to do anything else. Otherwise you need to create/obtain a token. On 6 May 2020, the role “lecturer/examiner" was assigned additional rights, which are described below.

Please read these notes as well as the relevant sections of these instructions thoroughly before you start working on courses!

Especially for room requests, the instructions given there are very important. Non-compliance can result in unnecessary rejections of room requests. So far, the instructions are focused on the role of event manager, which is why there are sometimes differences to your view of the role of Lecturer/Examiner.

Important information on dates and room requests for courses and examinations

Please do not schedule dates for exams for existing courses! Examination dates must be maintained directly in the respective examinations.

With the role lecturer/examiner, you have access to date and room data of your examinations.

Please follow the instructions, especially for creating examination dates!

To edit the courses for which you are registered as the person responsible or the lecturer, click on the tile "My courses and exams" on the start page. There you will find your courses for the semester set in the upper area. To edit a course, click on the pencil symbol.

Depending on the approval status

a) Independent of the approval status, you can:

  • edit the semester-dependent texts for the fields Comments, Content, Literature, and Location in the tab "Texts for all parallel groups"
  • edit the data in the tabs "Internal Note", "Links", and "Documents"

b) For courses with the approval status "approved" (that is, after the course catalog has been released), you can also:

  • edit most of the basic data of the course or parallel groups
  • create appointments and edit basic data for each of the appointments
  • submit room requests and cancel them

Please be sure to follow the instructions in the training material for event managers!
You will find the most important notes in the abridged exercise script in sections 2 and 3 (Creating an appointment and Making a room request).
If you have any questions, please refer to the more comprehensive guide "Booking rooms in HohCampus (for non-teaching events)," which begins with a detailed table of contents. Chapters 4.3-4.7, 5.1, 6, and 7 in particular may be relevant for you.

Please also note the following as important additions to these instructions:

1. You can request rooms for individual dates in a series of events as follows:

  • In the tab “Dates & Rooms,” open the series using the plus symbol
  • Click on the door symbol with green and red arrow for the respective date ("Assign alternative room").
  • Then proceed as described in the instructions for the room request.

2. In the case of series of dates, e.g. a weekly lecture or a blocked course, the room allocation is still available for the series itself. This is a relic of the mass cancellation mentioned above and must only be taken into consideration under certain circumstances (see below).

3. If you want to request a room for a whole series of dates, you can do this by clicking on the "Assign room" button on the parent element of the series, as described in the instructions mentioned above. If an error message appears, cancel the existing room assignment and try again.

As before, event managers can also carry out these steps and additional processing. Event managers have access to the events and courses of the institution assigned to their role. In contrast, when you are working in the lecturer/examiner role, you can edit the courses to which you are assigned as lecturer.
If neither you nor your secretary’s office know who has event manager role in your organization, the HohCampus support team can provide you with information.

Lecturer / Examiner

Your role  as lecturer/examiner is the basic requirement for you and, if applicable, your substitutes to have access to your exams. You must also be assigned to your exams so that you can access them. These assignments are made by the Examinations Office. So if you cannot find one of your exams in the processing overview (and you are sure that it is not due to an incorrectly selected semester or filter criterion), you can contact the Examinations Office.

Please note:
Unlike other types of events, you are not allowed to create new courses independently. In that case, please contact your Dean's Office!
